PhD Student Employees covered by the Collective Bargaining Agreement are eligible to be reimbursed for the cost of Maryland Transit Administration (MTA) All Access College Transit Passes or U-Pass College Student Pass during periods where they have an appointment under this Agreement. Reimbursement requests must be submitted in accordance with applicable policy which will allow for reimbursement for two (2) purchased passes at once.
MTA Process of Eligibility:
· Provost Office and HR Benefits submit names of all PhD Student Employees without directory information restrictions to the MTA.
· Provost Office asks PhD Student Employees with directory information restrictions if they want their information sent to the MTA.
· The MTA emails PhD Student Employees to inform them of their eligibility.
· PhD Student Employees elect to purchase the All Access College Transit Pass.
Reimbursement Procedures:
· The Office of Graduate Biomedical Education will administer reimbursements. However, PhD programs/Departments are responsible for covering the expense of PhD Student Employee transit passes.
· Students may submit reimbursements for up to two (2) purchased passes at once (limit 12 passes per year).
· PhD Student Employees must submit proof of ACTIVATION of the pass, which occurs on the first use of the pass (screen shot of their Charm Pass displaying activation, for example).
· All reimbursement information (receipts, proof of activation, etc.) will be submitted by PhD Student Employees through Concur.
