Tabling for "Grab and Go" Events

 

Registered Student Organization Tabling Policy and Guidelines

  • Must be a Registered Student Organization (RSO).
  • The table must be manned the entire time by a RSO representative.
  • Cannot be used for any other purpose other than purpose given at time of reservation.
  • Cannot reserve more than one table at any location.
  • Cannot be used to promote events or organizations external to JHU.
  • Cannot obstruct foot traffic or raise safety concerns.
  • If electricity is required and available, it is the reserving organization is financially responsible for any resulting costs.
  • Tabling is limited to Levering Courtyard, Mattin Center Courtyard, and the Breezeway
  • Breezeway is limited to RSOs, with the exception of Health and Wellness.
  • Tabling for Fundraising:
    • Are subject to the University’s Fundraising Guidelines.
    • Cashboxes are available to student organization’s use from JHUnions & Campus Programs.
    • Funds can be collected via Cash, Checks, J-Cash, Hopkins Groups, or Alumni Relations. RSOs cannot utilize other means to collect funds (i.e. Venmo, Cashapp, Paypal, etc.)
    • Students are required to deposit cash and checks to Student Leadership and Involvement at the end of the reservation at either Levering Hall monitor or Mattin Center monitor.  See Cash Handling Procedures.
    • Only one type of fundraising (i.e. Boba Tea) may be done at any location at a time.
  • Regardless of tabling purpose, all are organizations are required to adhere to the following:
    • Marketing or Tabling materials cannot contain material that:
      • is pornographic
      • harasses any individual or group on the basis of race, gender, national origin, religion or sexual orientation
      • contains a message of hate or a threat of violence
      • promotes hate speech or events
      • promotes free alcohol
      • promotes unhealthy alcohol practices (e.g., drinking games)
      • or, otherwise violates University policy

RSO Tabling COVID-19 Restrictions

  • Reservations must be submitted through Hopkins Groups.
    • Participants must RSVP in advance and event organizers must check-in and check-out participants once they pick up materials.
    • Submitter must create “Time Slots” for pick up.
    • Each time slot can only register a total of 10 people per hour.  (If the outdoor capacity increases or decreases, SLI Student Consultants will notify the event submitter and make adjustments accordingly.
    • If there is an issue with a tabling submission a SLI Consultant may request an in-person/virtual meeting via Hopkins Groups Chat. 
    • RSO must utilize ground markers to ensure social distancing for participants. Material are available at Student Leadership Involvement (Mattin 131). Please schedule a time to pick up materials as needed.  Materials are available on a first-come, first-serve basis.
  • Reservations are limited to 2 hours with one hour between reservations.
    • Timeslots: Mon-Fri
      • 9:00am-11:00am, 11:00am-1:00pm, 3:00-5:00pm
        • 1 time slot per day per RSO (one table per group)
        • Max of 3 slots per week
    • Reservations must be made 10 business days in advance via Hopkins Groups
  • Only one person may work the table at a time.
  • Grab and Go items only; Pre-Packaged food items are allowed for Tabling Events.
    • DIY meal kits/supplies can be purchased and must be pre-packaged and purchased online prior to pick-up. 
    • RSOs must utilize Hopkins Groups for purchases and cannot collect funds at the tabling event.
    • Students must follow public health and social distancing policies.
  • Reservation Times
    • 2 hour time limit
    • Timeslots: Mon-Fri
      • 9:00am-11:00am, 11:00am-1:00pm, 3:00-5:00pm
        • 1 time slot per day per RSO (one table per group)
        • Max of 3 slots per week
    • Reservations must be made 10 business days in advance via Hopkins Groups
  • Tabling Instructions and Rules
    • Arrive at the Student Leadership and Involvement Office to pick up your table.
      • Only one representative from each student organization is allowed in the building to retrieve a table at a time.
      • Wear a mask and maintain a distance of six feet at all times.
      • Bring your JHU Student ID (JCARD).
        • You will exchange your JCARD in order to receive a table
      • May only use JHUnions & Programming tables & Chairs
    • Must maintain 6ft social distancing at all times while tabling
    • Tabling can only consist of grab-and-go only
      • Pre-packaged foods (not prepackaged from home) only
    • No solicitation or sign ups
    • No cash exchanges
    • All items must be pre-packaged in boxes or bags for pick up
    • Failure to return your table at the conclusion of your reservation or damaging a JHUnions & Programming issue will result in the loss of tabling privileges and/or damage/replacement fees.

Registered Student Organization Budget Allocations 2021 – 2022

  • Budget submissions will be released for SGA, DOSL, CSC and Sports Club organizations next week. To access the budget submissions please navigate to your group page click on Money>Budgeting and select the appropriate budget from the drop down menu.
  • All groups will need to utilize the Budget Template attached to this email when submitting their allocation request.  
  • SGA and Sports Clubs budget submissions will be released on March 15, 2021 and are due on April 1, 2021.
  • DOSL RSOs budget submissions will be released on March 22, 2021 and are due on April 9, 2021
  • CSC will send an updated communication to those groups with requirements for submission. 

Note: The Student Government Association has changed their allocation from annually too bi-annually. This means groups will only be submitting for their events and activities occurring during the fall semester. RSOs that receive their money from the SGA will need to submit a new budget during the fall semester for the spring 2022 semester’s activities. Please refer to the Student Activities Commission Guidelines for additional information.

2021 Spring Fair: 50th Anniversary


Spring Fair is slated tentatively for Friday, April 23-Sunday, April 25, 2021 and a hybrid menu of events is anticipated, acknowledging outdoor gathering limits and the need for virtual engagements to supplement the in-person options presented.

The Spring Fair 2021 Planning Committee is looking to gather more student ideas to help influence and execute a final Spring Fair programming docket.

Leaderhship Weekend

The Leadership Weekend committee has been working diligently over the last several months to create a meaningful leadership development experience for undergraduate student leaders at JHU. Your role as a student leader is a very important and we want to be sure that you or members of your RSO have an opportunity to participate in the Leadership Weekend experience. We believe that your leadership story will be a valuable asset for student learning during this experience.

Leadership Weekend, sponsored by the Leading Social Change Fund, and hosted by Student Leadership and Involvement in partnership with the Center for Social Concern, JHUnions and Programming, Life Design Lab, and Office of Multicultural Affairs, seeks to:

 

  • Engage undergraduate students in leadership learning;
  • Enhance participants' leadership identity and leadership capacity; and
  • Increase participants' approach to leadership in the direction of purposeful, collaborative, and values-based process, that results in positive social change.

Leadership Weekend curriculum focuses on:

  • Awareness and recognition of individual strengths and the ways they contribute to the leadership process
  • Acknowledgement and celebration of participants' capacity to change systems and lead the change they wish to see in the world.
  • Naming and understanding current leadership understanding and how to make a plan for continued learning and progress.

Leaderhip Awards 2021

Is there a Blue Jay you believe has made a substantial difference here at JHU? If so, this is your opportunity to recognize them for their efforts. As a bonus, the recipient of many of these awards will receive a monetary gift.

The Leadership Awards nomination process is now open and accepting submissions. Below you will find a listing of all of the award students, staff, and faculty can submit for other Blue Jays. Nomination submissions are due on April 2, 2021. You can submit nominations for as many people or as many times as you like, so keep them coming!

The Dean of Student Life Awards

  • The Belle and Herman Hammerman Award for a graduating Senior entering law school who has demonstrated academic excellence and leadership.

  • The Christopher J. Pinto Award for a Senior who has demonstrated academic achievement, leadership, and strong moral character.

  • The David G. Sandberg Award for a Junior who has been involved on campus in multiple ways.

  • The Dean of Student Life Achievement Awards for undergraduates who have made sustained contributions to campus and/or the surrounding community.

  • The Alexander K. Barton Cup for a Senior who best exemplifies the ideals of the University and has earned the respect of their peers.


The Student Leadership and Involvement Awards include:

  • The Outstanding Advisor Award for a student organization staff, faculty, or graduate student advisor who has successfully supported an organization through a year of change or growth.

  • The Blue Jay Pride Award for an individual who has made significant contributions to campus programming this year.

  • The Outstanding Student Program Award for a Homewood student organization whose creative and unique program or event set the standard in quality programming. 


The Office of Multicultural Affairs Awards include:

  • The Exemplary Leadership Award for a student who has contributed to the leadership development of others.

  • The Greater Baltimore Community Service Award for a multicultural student who has demonstrated exemplary service to Johns Hopkins and broader Baltimore communities.

  • The Chester Wickwire Award for a student who has promoted multicultural understanding and harmony on campus.

  • The Owens-Hall-Bilgrave Award for students who have shown commitment to the mentoring of students of color.

  • JHU OMA Student Organization of the Year for a student group or organization that has exemplified true leadership around the work of diversity, equity, and inclusion. They are providing support through programming efforts, advocacy and education initiatives, and community engagement.

  • Friend of OMA Award (Faculty and Staff Only) is given to a staff or faculty member that has been influential in supporting the values of diversity, equity, and inclusion. The nominee would be a member of the Hopkins community that continuously advocates for students, supports advocacy/allyship, and goes above and beyond in their support for the JHU community.


The Student Government Association (SGA) Awards include: 

  • The Student Excellence for Leadership and Service Award for a student who have made outstanding contributions to student life in the past year.

  • The Staff Excellence for Leadership and Service Award for a member of the Homewood staff or administration who has demonstrated commitment to helping students.

  • The George E. Owen Teaching Award for outstanding teaching and devotion to undergraduate students.

  • The Dunn Family Award for a faculty or staff member who has made a positive impact on students outside the classroom.

  • The Emerging Leaders Award for undergraduate students who have made new and significant contributions to student life.


The Senior Class Awards include: 

  • The Gold Cup for a faculty member who has enhanced the undergraduate experience of the Senior Class. 

  • The Gilman Cup for a staff member who has contributed to student life outside the classroom. 

  • The Homewood Cup for a staff member who has gone above and beyond to assist students.

  • The Homewood Award for a student organization who has had the greatest positive impact on campus.

  • The Old Gold and Sable Award for a retiring faculty or staff member who has had a profound impact on students' lives.
